IL FVSHRM Chapter Admin Assistant




    Position Summary:


    To provide administrative support in order to keep chapter members and non-members informed through printed, electronic and other forms of communication.  Provides support to chapter board as directed.

    Members of the Chapter

    Vice President Membership

    Chapter President



    ·                     Create and distribute monthly chapter meeting invitations at least 3 weeks prior to meeting.  Ensures reminders follow each week to undecided.

    ·                     Creates and distributes to all board members pre-meeting survey responses.

    ·                     Obtain monthly lists of new members from the vice president membership.  Enter the new members into the chapter member database and through the website. 

    ·                     Answer requests for new member applications and forwards to vice president of membership and membership chair.

    ·                     Brings to each chapter meeting:

                      -Name Badges

                      -Promotional Materials for SHRM and IFV, including but not limited to; Annual,                   State and Local Conferences, SHRM Foundation (Donation Box?), HR                                           Certification Institute, Banners and Affiliate Of etc.

                      -Attendee Roster

    ·                     Tracks Attendance through the website . Maintains accuracy of attendees.  Reports to treasurer no shows and other necessary accounting information.

    ·                     Act as greeter for chapter at monthly meetings.  Collects meeting fees and provides receipts and recertification information.

    ·                     Check periodically with members whose email addresses no longer work to obtain their updated information.

    ·                     Run monthly reports for board including but not limited to; meeting attendees, survey results and additional topics that members want brought to the attention of the chapter.

    ·                     Maintains member and non-member email lists and compares with VP of Membership roster.  Updates information for members and non-members as needed.

    ·                     Provides administrative support to board members when requested.

    ·                     Works with media to promote initiatives and chapter monthly meetings

    ·                     Works with and monitors social media networking such as LinkedIn, Facebook and Twitter.

    ·                     Run year-end reports for board members on request
